Special Hours Notice:

We want to thank you for your continued patience over these last few months. In coordination with the governor’s announcement this week regarding indoor fitness facilities, the Kaplan Center will be opening on Saturday, September 12th at 10:00am.

For the fall semester, our hours of operation will be:
Monday – Thursday 6:00am – 10:00pm
Friday 6:00am – 8:00pm
Saturday 10:00am – 7:00pm
Sunday 10:00am – 10:00pm

Over the next week, we will be updating our website and communicating details regarding your membership and important considerations when visiting the Kaplan Center.

  • About the Process:

    Timeline
    • All room reservations must follow this timeline.
    Number of Days Prior to Event Tasks to be Completed No Later than this Date
    30 Event must be submitted through EMS
    21 Requester must have a meeting with the Special Event Coordinator
    14 The event agreement must be completed and returned
    7 All event charges and fees must be paid

    For Students
    • You must be a member of a registered student organization with a Virtual Event Management System (VEMS) account to reserve a space. Your organization should submit a Request for Student Organization VEMS Account form that will identify which two members of the organization will be allowed to submit requests for their organization.
    • Reservations can be made by accessing Virtual Event Management System (VEMS) here.
    • For your event you will also need to submit your event to CAP through SpartanConnect for approval at least 30 days prior.
    For Faculty and Staff
    • You should have a Virtual Event Management System (VEMS) account to reserve a room. Click here to obtain an account.

    For Community Members
    • Non-University affiliated groups wishing to rent facilities will be handled on a case-by-case basis. Rental and other fees will be charged.
    • Please contact Hannah Lanzillotta at hllanzil@uncg.edu or 336.334.4858 to learn more about using our spaces for your event.

    Piney Lake Reservations

    General Group Reservation Guidelines:

    • Reservations can be made through Virtual EMS, over the phone, or email.
    • Reservations must be made 1-month prior to the event date.
    • The minimum timeframe for all group reservations will be two hours.
    • The Piney Lake waterfront and lakeside lawn/picnic areas are non-reservable during informal operating hours
    • Lakeside Lodge reservations are available on a first-come, first-served basis and according to reservation guidelines. Use of the Lakeside Lodge always requires a reservation.
    • All Groups (A & B) are eligible to rent the lodge and waterfront outside informal recreation hours.
      • Group A is considered a UNCG group. All members of the group are UNCG students, faculty, or staff.
      • Group B is considered a program sponsored by UNCG. Typically Group B is a mix of UNCG students, faculty, and staff with additional external affiliates.
    • Waterfront rentals are not permitted outside the informal recreation operating season (November through February).
    • Once a reservation is made the signed agreement is due (10) business days prior to the event and final payment is due (5) business days prior to the event.
    • Possession and/or consumption of alcohol and illegal substances is strictly prohibited.

    Lakeside Lodge Reservation Include:

    • Picnic areas/lawn, unless during informal recreation operating hours.
    • Lawn games: cornhole, volleyball, etc. (set up per group’s request)
    • Overhead projector and projector screen.
    • Use of refrigerator.
    • Wireless Internet.
    • Hiking trail and disc golf course may also be utilized during a lodge reservation.
    • 1 Piney Lake Host

    Waterfront Reservation Include:

    • Access to swimming area and beach.
    • Use of kayaks, canoes, SUPs, and paddleboats.
    • A minimum of 2 lifeguards & 1 Piney Lake supervisor on duty. (Additional staff may be required due to group size.)
